a) HR Support and Site Administration and Welfare
· Advice employees on the company HR policies and the employee handbook.
· Administrations of human resources data through administration on physical personnel file and HRIS systems.
· Ensure yearly routine health checkup for operations team from vendors to ensure it meets Ministry of Manpower’s requirement.
· Handle all administrative tasks for onboarding and new-hire orientations, including data entry in human resources information systems (HRIS) and audits for accuracy and compliance.
· Execute the administration of employee’s overtime and the calculation of such overtime to ensure on timely payment.
· Keep track on payment related matters, exhaustive but not limited to sign on bonuses, retention bonus and transition bonus for the site.
· Plan and execute site employee welfare within the given budget with business rationale. (Company shuttle services, vendors for meals, pantry and etc.)
· Act as the point of contact for all administrative matters exhaustive but not limited to managing physical mails, purchase and takes stock of all stationary related commodities.
· Administrations of all HR / admin related purchase orders to support timely delivery of services.
· Distribution of employee’s access card, employee’s uniform, corporate tees, locker keys, main gate controller and arming tag.
· Coordinate purchase of benefit in kind such as compassionate purchase and newborn.
· Issuing of business visas letters to all internal and external stake holders.
b) Employee Engagement Activities
· Plan the employee relations activities within the given budget with business rationale in line with corporate initiatives (e.g. aviation week, women’s day and other corporate celebrations)
· Lead and partner the social community team to plan and organized company events to drive diversity and inclusion, corporate social responsibilities, employee welfare and team bonding activities. (Expect to have at least 6 mid to large scale activities and 6 small scale activities per calendar year)
· Organize monthly townhall sessions for site leadership to address employee related concerns and cascade key site information.
c) Recruitment and Onboarding
· Identify suitable channels for job advertisement and propose for appropriate use of those channels to attract suitable candidates to build talent pipeline.
· Put up job advertisements on internal and external job portal to source for suitable candidates for various functions with focus on operational hiring and direct labor sourcing.
· Active participation in career fairs and tertiary institutes to broaden and improve existing recruitment channels with focus on internship and work study diploma to build a consistent and robust talent pipeline.
· Work with tertiary institutes and internal stakeholders for employee branding purposes.
· Conduct Background Checks/reference check and coordinate pre-employment medical check for selected candidates.
· Prepare paperwork and schedules for smooth new-hire onboarding process, coordinating with cross-functional departments to deliver an exceptional first day experience.
· Act as the point of contact for new hire up to the first day transition to the hiring manager.
d) Training Coordination
· Actively participate and constantly stay updated in trade related trainings providers to upskill employees with related training activities.
· Review, tracks and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments.
· Maintain training external training catalogue and constantly updated available trainings to the key stakeholders and employees.
· Work with stakeholders on technical training requirements and administer training to employees.
· Maintain training records in accordance to audit requirements.
Job Requirements:
1. Degree with at least 3 years of experiences in managing HR Supports, Employee Engagement Activities and Administrations.
2. Proficiency in Microsoft Office; with strong skills level in Microsoft Excel.
3. Good interpersonal skills with “can-do attitude”
4. Able to work independently in a fast-paced and dynamic environment.
5. Candidates with familiarity with employment act and work injury compensation act will be advantageous.
